  • Editing Documents

    the web page corresponding to the Plone document and clicking the option at the bottom of the page Note for Administrators In Plone go to the folder containing the problem file and click on the lock icon this will take you to the control panel and show you locks for that folder so you can clean them out When you do this the user with the lock has now lost the lock When they check in a file it will try to lock and determine if the file has changed if it has the user will be prompted for which action to take More about Locking Locking is the process of locking or unlocking a file When a file is locked only you can edit it When it is unlocked anyone can edit it Files are automatically locked for you when you check them out They are also automatically unlocked when you check the file back in to the server You need to have permissions on a file to be able to check it out and edit it If you can t edit a file you won t be to lock it either So what can be edited depends upon workflow for example a file in a visible workflow state can be edited and locked If you have locked a file this means that no one else can edit the file This also means if someone else has locked a file you want to edit you will have to contact them before you can check it out For this when you have finished with the file check it in so the lock can be cleared and others can use it Setting Properties To alter the properties for content right click on the content and select the Properties option This dialog has three tabs across the top General Sharing and Properties Each tab has a series of metadata fields which you can edit After you edit them click OK to save changes or cancel to exit General tab Name this is the name of the object in Enfold Server This equates to the filename in Explorer and the URL in the item is accessed using Title the title of the file This shows in the Enfold Server user interface and also in Enfold Desktop Description the description for the file used in Enfold Server in many places Size the size of the file Created the date the file was created Last Modified the date the file was last modified Workflow Status the status of the object in workflow Sharing tab This tab is generally for administrators See features for Administrators Properties Tab Discussion set this to allow or disable discussion on the object Format the format of the content This is normally determined automatically by Enfold Server for the content Language the language the content is being written in Contributors contributors to this content enter each name on a new line Rights the rights to this content a free text field

    upon what you enter here It can contain capital letters punctuation you name it This does not correspond to the title property in html When displayed the Title value in Plone will appear inside the h1 tag in the middle content area Description This property not shown in the File Explorer view of Enfold Desktop can be accessed by right clicking a file in Enfold Desktop and selecting Properties It serves two purposes It appears on a web page like a byline to the article Information in this field appears in the meta description value in the head element of the HTML This description tag is usually displayed in Google search results and great care should be taken to make it descriptive Filenames If your file names do not contain all English characters then Enfold Desktop will need to normalize them on the server This because the range of file names that Plone can cope with is more restricted than those which Windows can cope with If for some reason file names are not being normalized correctly your system administrator may not have enabled File Normalization on the global settings for Enfold Desktop in Plone Site Setup Generally you should leave this turned on There is a limitation on filenames in Enfold Server that does not match Windows Explorer When you try to create a filename in Plone that doesn t match the existing definition you will get an error Following is a list of the rules for filenames in Plone file names cannot start with any of the following aq file names cannot end with two underscores file names can contain the following characters underscore see previous notes tilde comma period dollar sign parenthesis hash and spaces file names cannot be the same as any file inside the Plone

    folder needs refreshing In Vista after you copy files into a Plone folder you need to manually refresh the folder by clicking F5 or navigating from another folder to the current one Error Messages and How to Solve Them When I try to add an item using the right click menu I can t see Plone specific content types This is usually a permission issue To verify this view your Session Properties and make sure the user in session properties has the right to add new content in this directory Try logging onto the Plone website with the same user name from Session Properties Go to the same directory on the website and try adding new content you do this by selecting the Add dropdown menu on the top right side of the page Enfold Desktop knows to hide one or more content types when Plone doesn t allow them Cannot Move the File The file is checked out locally Please check in or revert the local copy The prior location of the file still shows that it is checked out You need to notify Enfold Desktop that you no longer are using this file in the old location One of two actions can resolve this Right click the file in prior location and choose Check in or Discard Check Out Read only problems This usually means that the user account does not have sufficient permissions to edit a document Locked files or pages A file or page is locked after Enfold Desktop checks with the Plone site and detects that another user has opened i e is editing it This even occurs when you opened the web page in a separate browser window When you see a locked message that does not mean you won t be able to edit the document The warning is for informational purposes only However if you check in your changes you run the risk of overwriting changes by another individual Read more about locking Conflict Local and Remote Modifications To resolve this it s probably necessary to back out of a change right click Discard Checkout This kind of error sometimes happens when you rename a Plone document or file and the website is unable to find a match with the file in question To resolve this use the right click option to View in browser Check your local version with the actual web page to see My MS Office file isn t checking in properly Why Check in of files is allowed only if you have closed the file in your editing program Even if you save a MS Word file for example you will still need to close the specific document in order for the file to be checked in correctly The same is not true for Plone documents which are HTML or TXT files Normally they can still be loaded in your text editor without Enfold Desktop preventing you from checking them in File or Content Item does not appear
