  • Getting Started - ShopSite Order Transfer for QuickBooks
    If you select Web Server Login a Basic Authentication configuration window will appear and if you select Shopsite Login you will get an OAuth configuration window A third link is provided for any other login method When this link is clicked you are asked if your store is running on ShopSite version 11 0 or later If you answer Yes an OAuth configuration window will appear because OAuth allows Order Transfer to authenticate directly with ShopSite instead of going through the host server s authentication system If your ShopSite version is older than version 11 and the host server is not using Basic Authentication Order Transfer will not be able to connect to your ShopSite store Order Transfer can still be used to import orders into QuickBooks but you will have to download the orders manually from the ShopSite Backoffice and then import them To set up an HTTP connection using OAuth you must first register Order Transfer in the ShopSite Backoffice This is done by navigating to ShopSite Utilities Applications and clicking Add to add an application When you are done registering copy and paste the required information into the HTTP connection s OAuth configuration settings Top Sales Tax Setup If you charge sales tax in ShopSite orders it is important that you have Sales Tax enabled in your QuickBooks company file and that sales tax items are created for use in order transactions Each of these sales tax items must have the tax agency specified for whom you collect sales tax As new customers are added from ShopSite orders you can choose to have the default most common sales tax item automatically selected for them or you can choose to manually select the sales tax item for each new customer You can also create new sales tax items as needed during the order importing process ShopSite computed sales tax is included as a line item in the sales transaction instead of in the Tax field where QuickBooks normally puts it The Tax field shows Precomputed as the name of the sales tax item with 0 0 as the tax rate However the sales tax amount shown in the line item is still applied to the customer s sales tax item and tax agency Alternatively you can choose to have the sales tax appear in the Tax field as usual instead of as a line item If you choose this option QuickBooks re computes the sales tax for the whole transaction and uses its result as the tax amount In most cases the result will be the same as the ShopSite computed tax But there is a possibility that in some orders they may differ slightly due to differences in calculation methods for discounts coupons gift certificates etc and where these items appear relative to other line items in the transaction Top Income Accounts All items sold require an income account As new items are imported from ShopSite orders you can choose to have a default item type and a default income account automatically selected for them or you can choose to select these manually for each new item Make sure that you have an income account in your QuickBooks company file that you want to be used for ShopSite products Top Inventory Accounts If you are using inventory tracking in QuickBooks you must have a COGS Cost of Goods Sold account and an inventory asset account in addition to the income account for inventory items If you want to import ShopSite products as inventory items make sure that these accounts exist in your QuickBooks company file Top Downloading Payment Information A secure SSL connection is required for downloading credit card and other payment information in ShopSite orders Additionally a merchant key is required if credit card information is stored in ShopSite orders using asymmetric encryption Order Transfer 3 0 does not save or update credit card payment information in customer records unless you choose the option to do so Top Matching ShopSite Order Items to QuickBooks Items As Order Transfer imports orders it tries to match ShopSite order items with QuickBooks items in your company file It does this by searching for item names that match ShopSite product names or SKUs When matches are not found you can choose to have Order Transfer automatically add new items to your company file or instead allow you to manually select existing QuickBooks items to use for the order items When you manually select QuickBooks items to use for order items these match ups are saved locally so you won t have to do them again in subsequent imports However you should eventually upload this information to ShopSite so it can be saved in the products database instead Not only does this allow you to free up disk space used for local storage but it also establishes links between ShopSite products and QuickBooks items when the identifiers used for them are not the same Establishing these links is necessary if you want to sync QuickBooks item prices and quantities on hand with their product counterparts in the ShopSite database Another option allows you to select a single QuickBooks item to be used for all ShopSite products imported as order items This option is useful if you don t need or want ShopSite products added to your company file ShopSite unit prices and item descriptions are still used in the sales transactions even though the same QuickBooks item is referenced for the ShopSite order items Other order item matches are recorded in Order Transfer registry settings Examples of these are shipping methods payment methods discount items coupons surcharges etc Top Matching ShopSite Customers to QuickBooks Customers For ShopSite customers you can choose to have Order Transfer match on customer name or company name when searching for the QuickBooks customer to use for an order it is importing If a match is not found you can have Order Transfer either add a new customer automatically or display a list of customers from which

  • Using ShopSite Order Transfer for QuickBooks
    can upload product matches to ShopSite where they will be stored in the products database After uploading you can remove the product matches stored locally Uploading product matches to ShopSite is important if you use data syncing from QuickBooks to ShopSite because the product matches link QuickBooks items to ShopSite products so that they can be updated from the QuickBooks item information To link a product to a QuickBooks item in the ShopSite Backoffice QuickBooks item names must first be uploaded to ShopSite This is done by selecting Upload QuickBooks Item Names in the Order Transfer File menu In the pop up window select a ShopSite connection and then click Proceed After item names are uploaded you can select the QuickBooks item that the product you are adding or editing should be linked to This is also a good place to check if a product is not being updated as expected when you upload data exported from QuickBooks Top How the item query works Since a company file may contain a large number of items the item query is structured to return only a small number of results at a time to avoid slow responses in the user interface The maximum number of results to return can be selected in the Max dropdown menu The built in numbers are 10 20 30 50 and 100 You can add your own number to this menu if you wish To add more items to the list click Get Next To add the remainder of the items to the list click Get All To list specific items you can submit a query to find items where the item name contains begins with or ends with a search term you enter You can do the same thing for item description Additionally you can set the scope of the query to return results by item type for all items active items only or inactive items only If you want to see only items with names that begin with an alphabetic letter the Index button will first display a pop up window for you to pick the letter you want and then run the query While a query you have run is still active the search button is changed to an X and the query fields for entering search criteria are disabled If you want to run another query just click the search button to clear and reset the current query Sorting the list Items are not automatically sorted as they are added to the list You can have the items sorted at any time by clicking one of the column headers The list will then be sorted alphabetically by column Item totals The first item total is the current number of items in the list The second item total depends on the currently active query If it is a general query and not a search for specific items the results of the query will include all items in the company file including those such as sales tax items In this case the second item total is the number of items in the company file If the query results are from a search the second item total is the number of items that matched the search criteria As items from a general query are listed however some items such as sales tax items will be omitted When there are no remaining items in the query the second item total will change to the number of items in the list to signify that the end of the query has been reached Top Customizing Transaction Templates In QuickBooks you can customize the forms you use for invoices sales receipts and sales orders You can add or remove fields in the header the top of the form and also add or remove columns for the line items Order Transfer works in conjunction with QuickBooks form customization allowing you to display alternate information in some of the header fields For example if you have ShopSite order information that you want to appear in the header but there is not a field already provided for it you can pick an unused header field and have Order Transfer display the information you want in that field You can also change the title of the field in QuickBooks to identify the alternate information it now displays QuickBooks provides additional customizable fields named Other Other 1 and Other 2 that you can add to the form and use for ShopSite order information The first one is for the header and the other two are for columns The following table lists the header fields and column fields that can be assigned data values from ShopSite order information Note the maximum number of characters that each field can hold and the transaction types that the fields will put information on the last line of the Bill To and Ship To addresses respectively These could be used for a phone number an E mail address etc Before you assign data values to header or column fields in Order Transfer you may need to add them first to your transaction form This is done by customizing the form in QuickBooks The following steps will guide you in accomplishing this task however the exact steps may differ slightly depending on the QuickBooks edition you are using If you need help select QuickBooks Help and enter Customize Templates in the search box The steps for customizing an invoice form will be outlined here but the same steps can be followed for a sales receipt form or a sales order form Open an Invoice window in QuickBooks example In the template drop down menu at the top right of the invoice select the template that you want to customize Look for the Customize button at the top of the invoice You may need to expand the window to the right or left until it comes into view Click the down arrow in the Customize button and select Customize Design and Layout then click Customize Data Layout in the pop up window If the template you selected to customize is a locked template another pop up window will appear requesting that you make a copy of the template first Make a copy to proceed The next pop up window is where you can select the header fields and column fields that you want to appear in your form The header fields are displayed first Check the boxes for the fields you want in the form and uncheck the boxes that you don t want Change the titles for the fields in which you are going to display alternate information so that the information in them is identified correctly Click the Columns tab if you need to perform similar customizations for column fields Click OK when you are finished If you want to rename the template you just customized Click the down arrow in the Customize button and select Manage Templates Select the template that you want to rename and enter the new name Click OK then OK again in the next pop up window Now you are ready to assign ShopSite data values to fields in your customized form In Order Transfer go to Preferences from the Edit menu and click Transactions 1 Select the transaction type and then the template name Click Customize In the Customize pop up window for the transaction type you selected you will see a list of ShopSite data fields on the left side and transaction fields header and column in two separate lists on the right side In general to make a data value assignment first select a ShopSite data field and then check the box for the header or column field in which the value for the ShopSite data field is to appear ShopSite data fields are categorized according to the type of order information they contain Data values that pertain to the order as a whole belong in the header and so these values can be assigned to header fields only Likewise data values that are properties of individual order items can be assigned only to column fields ShopSite data fields are displayed in an hierarchical tree structure Tree nodes with a sign must be expanded to expose the data fields that are contained within them Data fields that can be assigned only to header fields order information are identified by a red ab icon while data fields that can be assigned only to column fields for item information will have a green ab icon As item information can only be for a ShopSite product all item information will be in one place under Product To find the data fields for item information quickly click the expand link for item information When you select a ShopSite data field the set of transaction fields that the data value can be assigned to will be enabled while the other set of transaction fields that it cannot be assigned to will be disabled For example if you select a data field with the red colored icon the list of header fields will be enabled and the list of column fields will be disabled Also an Assign here link will appear for the enabled transaction fields and a Disabled link for the disabled fields If after you have started a data value assignment for a data field and then want to change it you can simply click on another data field If you want to cancel a data value assignment before completing it click on any tree node that is not a data field or To change the current data value assignment for a transaction field select the new ShopSite data field then uncheck the box and check it again To remove a data value assignment without reassigning simply uncheck the box In Order Transfer currently the data value assignments you make will be applied to all templates of the same transaction type not just to the template you have selected A future enhancement may allow data value assignments for individual templates Top Assigning custom checkout fields If you have custom checkout fields defined in your shopping cart and you want the values for them shown in your sales transactions there are two ways in which you can do this Have all values appear together in one field the Memo field may be the only one large enough to hold this information Have each checkout field value displayed in a separate transaction field may be limited by the number of fields available In the tree list the custom checkout fields are located in Order Other CustomCheckoutField Initially the only fields here are FieldName and FieldValue Order Transfer doesn t know anything yet about your custom checkout fields However if you just want to combine all of the custom field values into one transaction field the first option above then all you need to do is select FieldValue and assign it to the Memo field or to another header field of your choice The second option above requires that you identify the custom checkout fields by name and have them added to the tree for selection and assignment When you click the CustomCheckoutField tree node a link appears to manage checkout fields Clicking this link will display the Manage Checkout Fields window In this window you can have Order Transfer query your ShopSite Backoffice for the names of your custom checkout fields and add them to the custom checkout fields list box This method requires a working ShopSite connection which you select and then click the Sync button If there are checkout fields downloaded that you don t need to assign you can select and remove them from the list The alternative method if you don t have a working ShopSite connection is to enter the custom checkout field names manually You enter each name one at a time and click the Add button Click OK when you are finished identifying the custom checkout fields The field names will then be added to the tree replacing FieldName and FieldValue Next assign the checkout field values to the header fields in which you want the values to appear Top Data Syncing Data syncing is a process by which you keep information that resides in multiple data repositories up to date with each other When you use Order Transfer to import orders from ShopSite and ShopSite products are added to your company file you may want to keep the prices and inventory levels for these products the same in both places The data syncing feature in Order Transfer is two way which means that information can flow from either data source to update information in the other To keep things straight as to which way the information is flowing export means that information is flowing from QuickBooks to ShopSite to update products in ShopSite and import means that the information is coming from ShopSite to update items in QuickBooks Order Transfer is the mechanism through which the information flows In addition to updating prices and inventory levels in QuickBooks the importing process can also add new items to your company file If you are just starting out using QuickBooks with ShopSite you may want to populate your QuickBooks company file with ShopSite products by importing them directly from ShopSite instead of when orders are imported The exporting process however will not add new products to ShopSite it can only update existing ShopSite products When importing data from ShopSite you can specify a subset of products for which the related QuickBooks items are to be updated In other words data syncing can be restricted to only those QuickBooks items where the related product names or SKUs satisfy a search criteria Another method you can use to achieve the same result is to go into the ShopSite Backoffice and download only the products that you want updated in your company file Exporting QuickBooks data to ShopSite requires that you first create an export configuration file When creating this file you select the QuickBooks items that you want to export along with data you want to export such as price quantity on hand and low stock amount the reorder point You can create as many export files as you need for syncing data of different categories batch sizes or store locations Once created you can modify them to add or remove QuickBooks items for exporting and you can change the data that are to be exported for each item Data syncing is an Order Transfer feature that requires a separate product license to enable it You can purchase and download the license from the ShopSite web store After downloading go to the Help menu to install it Top Importing ShopSite Data to QuickBooks The Import feature in Order Transfer is used to update unit prices and inventory levels for QuickBooks items that are matched to ShopSite products see Matching ShopSite Products to QuickBooks Items Importing can also be used to add ShopSite products as QuickBooks items in your company file To import ShopSite data into QuickBooks the data must first be downloaded to Order Transfer There are two ways in which you can do this Automatically in Order Transfer Manually from the ShopSite Backoffice Using either method you can download prices and inventory levels for all ShopSite products or only for a subset of products Using the automatic method in Order Transfer you can specify search criteria to download information only for products where the product name or SKU contains begins with or ends with a given value If you choose to download manually from the ShopSite Backoffice you can either download all products and then have Order Transfer import only those that satisfy the search criteria you specify as in the automatic download method or you can manually select which products to download You can also reduce the download file size by selecting just the price or inventory fields that you want to sync with To import product information into QuickBooks select Import to QuickBooks in the File menu Then follow these steps in the pop up dialog window Caution Before proceeding make sure have a recent backup of your company file in case you need to recover from a bad import Select the download method for obtaining the product data you want to import Then select a ShopSite connection to download automatically or enter the path name of an XML file you downloaded manually If you want to import information for only a subset of products check the box for this option and specify the search criteria to match on This option is most applicable if you are downloading automatically from ShopSite If you downloaded a file manually you can use or not use this option depending on what you downloaded Select the import mode You can choose to Update existing QuickBooks items only This will ignore any products in the download file that do not match up with QuickBooks items Add new items only This will not do any updating of existing QuickBooks items Check this option if all you want to do is add items for new ShopSite products Do both This will update and add items Check the boxes for the data you want to update for existing QuickBooks items Item price Quantity on hand Low stock amount When an item is to be added to your company file choose whether you want the product name or the product SKU used for the item name

select Open Feature In the panel to the right click Edit Feature Settings Check the box for Allow unspecified CGI modules and click OK Add the IIS 6 Compatibility Service only perform these steps if instructed to do so by your support provider Run Server Manager In the left panel click Roles and wait a few seconds for the information to be displayed Then in the right panel scroll down to find the Web Server IIS category Scroll down further to find the Management Tools group Under IIS 6 Management Compatibility check the install status for IIS 6 Metabase Compatibility If IIS 6 Metabase Compatibility is not installed click Add Role Services Look for the IIS 6 Management Compatibility group and check the box for IIS 6 Metabase Compatibility Click Next and then Install When the install finishes you may have to reboot the server Back to Top Obtaining Installation Files Once you are ready to install ShopSite you need to obtain the installation files Each ShopSite store requires a unique Auth file in order to run See the Auth File Help for information about what an Auth file is and how to obtain one When you get the Auth file you should save it on your local computer in a place where you will be able to find it later Be sure to use ASCII text file format any time you use FTP to transfer your Auth file ShopSite partners can obtain the program installation files directly from ShopSite by following the instructions below You will need the partner ftp username and password you were given when you signed the partner agreement Make sure you have them ready before you start FTP to the ShopSite Support FTP server and download the installation files using one of the following methods Using an FTP client on your local computer Open your FTP client program and open the Connect dialog Enter support shopsite com as the Hostname When you are prompted enter the username and password you were provided On the Server change to the folder that correlates to your Web server operating system then the folder for the version of ShopSite you want to download this will usually be the current folder On your local computer change to the folder where you want to put the installation files You may want to use the same location where you put your Auth file Use Binary BIN mode to copy the installation file to your local computer The file to download will be named setup exe If there is a patch folder in the version folder you will also need to copy any files in that folder to your local computer using Binary BIN transfer mode Using a Web browser on your local computer Open your Web browser and enter the following URL into the location bar You will need to replace MyUserName and MyPassword with the username and password you were provided ftp MyUserName MyPassword support shopsite com Click on the name of the folder that correlates to your Web server operating system then click the name of the version of ShopSite you wish to download this will usually be the current folder Click on the file named setup exe When prompted select a location to save the file on your local computer You may want to use the same location where you put your Auth file If there is a patch folder in the version folder you will also need to save any files in that folder to your local computer Back to Top Uploading Installation Files Once you have all the files required to install ShopSite you need to upload the files to your web server Open your FTP client and connect to your web server Navigate to the folder on your server where you want to place the installation files This should be a location you will be able to easily locate through the administrative interface Navigate to the folder on your local computer where the installation files are located Use ASCII Format to upload your store auth file Use Binary Format to upload the setup exe file and any patch files Back to Top Running the ShopSite Installer After you have uploaded all of the required files to your web server you can run the installation program Log in to your windows server administration interface Locate the folder where you put the installation files and double click setup exe to launch the installation utility Click Next on the Welcome screen Click Add to create a new installation Select the option to Create a new ShopSite installation with an initial store then click Next Click Browse to locate the auth file in the folder you uploaded it to After you have selected your auth file click Next to continue Select the Web Site to install ShopSite on This will usually be the Default Web Site The installer should automatically display the path to the site in the Home Directory field Click Next to continue Select the options to Set access permissions for ShopSite directories and Create virtual directories for ShopSite URLs This will enable ShopSite to automatically create the folders and web server aliases required by ShopSite Click Next Use Microsoft s Computer Management tools to Create the Windows User and Group required for the ShopSite store Create a User account with the same name as the StoreID in the Auth file Create a Group account named ShopSite Assign the User account you just created to the ShopSite group After you have finished close the Computer Management window and return to the ShopSite installation utility Click Next to continue the ShopSite installation Click Browse to select the location where ShopSite will be installed This should be the Store Pages Folder you decided on earlier

    URL or the service level of your store You should not change the storeid of an existing store 2 You may also need to obtain a new auth file if you are moving your store to a server running a different operating system Your ShopSite reseller can provide you with a new auth file if you need to replace it When you request a new auth file your ShopSite reseller will need the following information see the Store Settings and Product Information sections of your Preferences Hosting Service screen for this information storeid the username you use to log in to your ShopSite back office This is the ID under Store Settings store URL the URL of your ShopSite store directory Be sure to use the Store URL in the Store Settings section not the My Store URL in the Merchant Settings section serial number the unique serial number for your store listed in the Product Information section service level the feature level of your store the Product in the Product Information section After you have obtained a new auth file you can install it by doing the following Backup your current auth file If something is wrong with your new auth file you may need to restore the old one until you can get your new auth file replaced Your auth file is located in your store s data directory 1 and is named storeid auth where storeid is the username you use to sign in to your ShopSite back office You can make a copy of the file with a different name storeid auth old for example in the same directory or on your local PC Be sure to use ASCII text file format any time you use FTP to transfer your Auth file Save the new auth file as storeid auth where storeid is the username you use to sign in to your ShopSite back office in your store s data directory 1 Make sure the file name matches the storeid of your store or ShopSite will not run Log in to your ShopSite back office and check that the new auth file is installed correctly The store version and service level are indicated at the bottom of the main back office screen followed by your storeid If you have any problems see the troubleshooting section below Troubleshooting Auth File Problems If you are having trouble installing or upgrading ShopSite or if you are unable to access ShopSite after installing or upgrading ShopSite your auth file could be part of what is causing your problems The following are a few things to be aware of with regard to your auth file Did you use ASCII format to transfer your Auth file Any time you use FTP to transfer your Auth file you should use the ASCII text file format If you transferred the file using BIN format the end of line characters in the file may not match the ones used by your operating system causing the
